Terms & Conditions for Attendees

Here are the detailed Terms & Conditions for attendees participating in the Annual Function of Rachnakaar, an initiative of Shuktika India Foundation, to be held on 6th and 7th September 2025 in Kolkata. These terms are drafted to ensure legal clarity, smooth operations, and the protection of the Trust:

Event Details

  • Event: Annual Function – Rachnakaar
  • Organised by: Shuktika India Foundation
  • Dates: 6th & 7th September 2025
  • Venue: Kolkata, West Bengal

1. General Information

  • The event is open only to officially invited participants, contributors, and awardees.
  • The program spans two days:
    • 6th September 2025 – Literary Presentations & Cultural Evening
    • 7th September 2025 – Award Ceremony & Cultural Performances

2. Participation & Presentation

  • Each participant will be allotted a specific time slot for performance or presentation on 6th September. This will be communicated in advance.
  • The Trust reserves the right to edit, curtail, or cancel any performance if it exceeds time, violates public decency, or contradicts the values of the Trust.
  • Participants must submit their final scripts/content/performance format by 10th August 2025 for review and scheduling.
  • Use of any objectionable, political, communal, or indecent content is strictly prohibited. Violators will be disqualified.
  • Stage access will be granted only to registered individuals.

3. Accommodation & Hospitality

  • Subsidized accommodation and meals will be provided on a first-come, first-served basis upon confirmation of participation.
  • The subsidized cost is non-refundable once confirmed and paid.
  • Attendees must maintain decorum and respect the property, staff, and other guests at the lodging facilities arranged by the Trust.
  • The Trust is not responsible for any personal belongings lost, damaged, or stolen during the stay.
  • Alcohol, drugs, smoking, or any illegal activity is strictly prohibited in accommodation premises or event venue.

4. Travel & Personal Expenses

  • Attendees are responsible for their own travel arrangements and expenses to and from Kolkata.
  • Any travel delays, cancellations, or changes will not be the responsibility of the Trust.
  • Emergency medical expenses, if incurred, are to be borne by the attendee.

5. Conduct and Liability

  • All attendees are expected to behave in a dignified manner and comply with instructions from event organizers.
  • Any damage caused to the venue, property, or persons will be liable to the individual and may result in police/legal action.
  • The Trust reserves the right to remove or blacklist any attendee for misbehavior or misconduct, without explanation.
  • The Trust, its members, trustees, or volunteers will not be held liable for any injury, accident, or loss occurring during the event.

6. Photography & Media

  • By attending the event, all participants consent to being photographed or recorded.
  • The Trust reserves the right to use such media (photos/videos) for documentation, promotional, and reporting purposes without any further consent or compensation.
  • Personal photography or videography is allowed only with prior permission from the organizing team.

7. Program Schedule & Changes

  • The Trust reserves the right to modify the schedule, venue, or content of the program as per organizational or external requirements.
  • In the event of a natural calamity, political unrest, or force majeure, the event may be postponed or cancelled. In such cases, the Trust shall not be liable for any financial or personal losses.

8. Legal & Jurisdiction

  • Any dispute arising out of or in connection with this event shall be subject to the jurisdiction of Kolkata courts only.
  • All terms are governed by the applicable laws of India including the Information Technology Act, 2000, and Indian Contract Act, 1872.
  • The final interpretation and enforcement of these terms rest solely with Shuktika India Foundation.

9. Indemnity Clause

  • By registering and attending the event, the attendee agrees to indemnify and hold harmless the Trust, its trustees, organizers, and volunteers from any and all claims, liabilities, damages, or costs arising from participation in the event.

10. Declaration

  • By confirming participation, attendees:
    • Accept all above terms and conditions;
    • Agree to abide by the rules and code of conduct;
    • Declare that all information provided by them to the organizers is true and complete.
